Library Specialist II, Assistant Branch Manager, North Caddo Branch Library, Vivian, LA

SUMMARY:  Under general supervision, this position is the First Assistant of a large community branch.  This position is responsible for a variety of public service & technical duties in various phases of library operations, including the exercising of judgment and discretion in performing library routines with technical advice available when needed; determines duties and methods necessary to accomplish objectives; performs related and other work as required. 

REQUIRED TRAINING AND EXPERIENCE

Applicant must have one of the following:

1.       Attainment of a B.A. or B.S. from an accredited university/college

OR

2.      high school diploma or equivalent and at least 6 years of paid, full-time customer service experience including two years of library experience. 

Highly desirable:

1.      Familiarity with automated library systems

2.      Supervisory experience

REQUIRED KNOWLEDGE, ABILITIES AND SKILLS

Good knowledge of:

1.      standard library principles, practices and procedures;

2.      electronic and printed materials, resources, and databases.

Ability to:

1.      relate and communicate effectively with other employees;

2.      make decisions based on established policies and practices, along with common sense;

3.      use resourcefulness, tact and courtesy in dealing with library patrons;

4.      understand complex oral and written instructions;

5.      be proficient on the computer with various software.

ESSENTIAL FUNCTIONS

11.  Branch management:  Serves as First Assistant to Branch Manager and may coordinate, direct and supervise all of the work of the North Caddo Branch Library, in the absence of the Branch Manager. 

12.  Personnel:  Assists with hiring, training, supervising and evaluating three (3) full-time and four (4) part-time employees; may participate in the hiring process; maintains effective working relationship with all staff and is available for the staff to discuss all issues as needed; assists with completing payroll; may process and reconcile leave requests; may complete substitutes usage report; may schedule substitutes as needed; may cover for personnel shortages; may recommend staffing needs and changes; may assist with conducting investigations and resolving employee inquiries and/or complaints; may assist administrative supervisors with handling of these and other personnel matters; may participate in corrective action meetings; makes informed decisions based on policies listed in the Employee Handbook; keeps staff and supervisors informed on new policies and procedures .

13.  Facility Management:  Assists with overseeing daily use, care and upkeep of the building and grounds including plumbing, heating/cooling, lighting and lawn maintenance; signs and keeps records of work completed; may direct the in-house housekeeping staff in the daily cleaning and sanitizing of all common use areas; may be responsible for cleanliness of facility grounds as needed; may stock and/or clean restroom and other areas of the library as needed; may order maintenance supplies as needed.

14.  Branch Security:   May respond to after-hours security calls; may instruct guards and evaluate service; works with security guards to provide for safety of patrons and staff; assists with maintaining a current Branch Emergency Procedures Manual, emergency supplies, and ensures all staff are prepared to handle emergency situations; may assist with coordinating and conducting building evacuation drills at least semi-annually; completes reports on security incidents at the branch; monitors employee access to building; monitors guards’ working hours.

15.  Public Service:  Assists with the development of programs for the public with the help of branch staff; performs reference, readers’ advisory and circulation duties as required; assists patrons and staff in the use of databases, digital resources, Internet usage, software applications, and hardware configuration; plans, conducts and attends community outreach programs when needed;  coordinates and/or conducts computer classes as needed; gives library tours and provides instruction in the use of the library facilities, services, databases, and standard reference tools;  gives “book talks” or other presentations to school classes or civic groups to promote patron services; may conduct investigations and resolves patron inquires and/or complaints; assists administrative supervisors with handling of these matters; coordinates displays and promotional signage.

16.  Finances:  Responsible for counting Fines and Miscellaneous Receipts on a rotational basis and preparing money and reports to be sent to SML Financial Assistant; assists with monitoring money within the branch.

17.  Reports:  Keeps detailed records and generates monthly reports of all Reference-related functions including Reference and patron computer usage.

18.  Collection Development:  Reads reviews and offers suggestions to Acquisitions staff for selection of branch-appropriate materials; weeds collection on an on-going basis; shelf reads collection as needed.

19.  Professional Development:  Attends monthly management meetings, meetings of appointed committees, and workshops and conferences.

20.  Other duties as needed.

PRESENT SCHEDULE [subject to change without notice]

            Monday – Wednesday:            9:00 a.m. – 5:30 p.m.

            Thursday – Friday:                  9:00 a.m. – 6:00 p.m.

THE LIBRARY

Shreve Memorial Library System is one of the largest public library systems in Louisiana, with twenty-one branches and one bookmobile.  The library system has a combined holdings of over 665,000 items and an annual budget which exceeds $18,000,000.  The library has a staff of 250 (169 FTE).
